Single Committee Events

Planning

  • 1. Set event objectives and what you want attendees to take away
  • 2. Book venue (hospital education centre, university room, or external)
  • 3. Confirm speaker(s) and send them the Speaker Materials Pack
  • 4. Set date, time, and expected attendance
  • 5. Complete budget using the Event Budget Planner
  • 6. Set up registration (Eventbrite, Google Form, or MyISCP)

Promotion

  • 1. Send invitation email 8 weeks before (use Email Template 1)
  • 2. Post on social media (use Social Media Graphics Guide)
  • 3. Put posters on hospital/university notice boards
  • 4. Send reminder email 2 weeks before (use Email Template 2)
  • 5. Send final details email 48 hours before (use Email Template 3)
  • 6. Send "looking forward to seeing you" WhatsApp morning of event

On the Day

  • 1. Arrive 30 minutes early, test projector and bring your own HDMI adapter
  • 2. Set up registration desk with sign-in sheet, pens, and name badges
  • 3. Put up directional signage to the room
  • 4. Brief helpers on their roles (registration, catering, timekeeping)
  • 5. Display feedback QR code on closing slide
  • 6. Take 2-3 photos for social media (get verbal consent)

After the Event

  • 1. Send thank you email within 24 hours (use Email Template 4)
  • 2. Send feedback survey within 2 hours of event ending
  • 3. Share presentation slides within 48 hours
  • 4. Issue CPD certificates within 48 hours
  • 5. Complete Event Tracking Form and submit to committee
  • 6. Upload recording if event was recorded
